Planning a group stay for up to 40 near Leuven and Brussels
Bringing a large group together is easier when the practical decisions are made before everyone arrives. Domaine de la Nèle is an exclusive-use estate in Neerheylissem, Walloon Brabant, with 18 bedrooms, each with its own bathroom, and space for up to 40 overnight guests. Use this guide to organise the stay without making the weekend feel like a timetable.

- Up to 40 overnight guests
- 18 bedrooms with private bathrooms
- Exclusive use of the estate
- Indoor pool and kitchen for group meals
Start with people, then choose dates
Ask who is likely to stay overnight, which dates work and who can make the final booking decision. Keep a confirmed count separate from a possible count. The estate accommodates up to 40 overnight guests; a sleeping capacity is not a statement about permission for a larger event. If you are planning a celebration with visitors who are not staying, describe it in your enquiry and ask what is possible before inviting them.
Make a room plan before arrival
Eighteen bedrooms with private bathrooms make it possible to organise smaller groups within the larger gathering. Ask for the current room and bed configuration before allocating rooms: 18 bedrooms does not mean 18 identical layouts. Collect requirements privately, such as a need to avoid stairs or a particular sleeping arrangement, and check them with the host. The website’s 3D tour is a renovation study; use the confirmed current room information for your final sleeping plan.
Plan a few shared meals
The estate has a kitchen for group meals, and you can discuss bringing your own caterer. Agree who will organise groceries, cook and clear up, or ask a caterer to propose a suitable arrangement. Send dietary needs in advance and confirm the equipment and access the caterer requires. One planned meal each day can give everyone time together while leaving the rest of the day flexible.
Leave space in the programme
An indoor pool gives the group another option during the stay. Discuss supervision and the pool rules with the host before arrival, especially when children are part of the group. Mix a few shared moments with time for guests to relax independently. If the stay includes work, check the actual internet connection, seating and equipment you need instead of assuming that a group house has conference facilities.
Agree the budget before sending a request
Choose one person to collect the quoted accommodation cost and any separate group expenses, such as food or catering. Request a quote for your exact dates and group. Current direct-booking terms provide for 50% at booking and the balance 7 days before arrival, plus a refundable €1,500 security deposit. All prepayments are non-refundable. The security deposit is separate from the accommodation prepayment; check the complete terms and payment schedule shown in checkout before committing.
Treat the booking as a request
Select your dates and guest count in the booking section, review the quote and submit your booking request. It requires approval; sending a request is not the same as receiving a confirmed reservation. Wait for confirmation before making dependent arrangements. Current check-in is 14:00 and checkout is 12:00. Confirm any different arrival or departure plan directly with the host rather than assuming it is included.
